About the Role

As a Proposal Coordinator, you’ll take full ownership of the proposal process, from reviewing RFPs to assembling and submitting polished, compelling responses. This is a hands-on, deadline-driven role that requires excellent writing skills, project management, and collaboration across departments. You’ll play a key part in helping the sales team win new business by ensuring proposals are accurate, strategic, and professionally executed.

Responsibilities

· Review RFPs, RFIs, and bid documents to structure compliant, well-organized responses.

· Collaborate with sales, operations, accounting, and leadership to gather content and data.

· Write, edit, format, and assemble high-quality proposals on deadline.

· Maintain a central content library, including case studies, standard responses, and templates.

· Manage version control and ensure brand consistency across all submissions.

· Track proposal outcomes and incorporate feedback to improve future responses.

· Coordinate with internal and external resources for visual design or enhancements as needed.

Qualifications

· 3-5 years of experience in proposal coordination, sales operations, or business development support.

· Strong writing, editing, and proofreading skills with attention to compliance and clarity.

· Proficient in Microsoft Office Suite, Adobe Acrobat; CRM experience preferred (Salesforce a plus).

· Ability to manage multiple projects simultaneously in a deadline-driven environment.

· Excellent communication and organizational skills.
